Event Hire Terms & Conditions

By confirming a booking for event hire at St. John’s Garden Centres, Ashford, you agree to the following terms and conditions:

Bookings & Payment

  • All event bookings require a non-refundable deposit, payable at the time of booking, to secure the date.

  • A booking is not confirmed until the deposit has been received.

  • Final details, including numbers and catering requirements, must be agreed in advance of the event. Numbers must not exceed the room capacity.

Cancellations

  • Deposits are non-refundable in the event of cancellation by the hirer.

  • Any additional payments made may be subject to cancellation terms outlined at the time of booking.

Health & Safety

  • St. John’s Garden Centres accept no liability for accidents, injuries or loss incurred during events, including (but not limited to) incidents involving tea urns, hot water, hot drinks or other hot liquids.

  • The hirer is responsible for ensuring that all guests behave in a safe and appropriate manner.

  • Children must be supervised at all times by a responsible adult.

  • Any damage caused to the venue, fixtures or equipment during the event may be charged to the hirer.

Use of Facilities

  • Tea urns and catering equipment must be used responsibly and safely.

  • Guests must not interfere with or misuse any equipment provided.

  • Windows must not be opened or touched under any circumstances by the hirer.

  • Furniture, fixtures and fittings must not be moved unless agreed in advance with the venue team.

Catering & Dietary Requirements

  • We are happy to cater for dietary requirements where possible; however, all dietary needs must be communicated in advance.

  • We cannot guarantee accommodation of dietary requests that are raised on the day of the event.

Capacity & Conduct

  • Events must not exceed the agreed capacity for the space.

  • St. John’s reserves the right to end an event early if behaviour is deemed unsafe, disruptive or inappropriate.

Set-Up & Clear-Up

  • Access times for set-up and clear-up will be agreed in advance.

  • The space must be left in a tidy condition at the end of the event.

Force Majeure

  • St. John’s Garden Centres shall not be held liable for cancellations or disruptions caused by circumstances beyond our control, including but not limited to extreme weather, power failure or emergency situations.

Acceptance of Terms

  • By confirming a booking, the hirer confirms that they have read, understood and agreed to these terms and conditions.
